College of William and Mary Special Trip Policy (Williamsburg Area Transport)

Effective August 13, 2002, Williamsburg Area Transport (WAT) became the contractual provider of transportation services for the College of William and Mary, both fixed-route student transportation (green and gold) and special trips (formally known as charters).

It was a privilege to earn this trust and fits well with WAT's mission of a seamless regional transit system, serving residents, students, and visitors.

In this role, our goal is to provide the highest quality transportation in support of an outstanding educational institution, the College of William and Mary.

To ensure quality transportation services, it is necessary to set expectations for this partnership:

Special Trip Expectations

  • WAT requests that trip requests be made at least five working days in advance. This will allow us to honor as many trip requests as possible, plan for labor and vehicle resources, and ensure that our vehicles are in the best possible condition.
  • Requests for trips can be called to 220-5493, WAT Operations Office, to Operations Cellular phone 592-3174, faxed to our office at 220-6268, or E-Mailed to cburch@james-city.va.us. We hope to have request forms on our website at www.williamsburgtransport.com, prior to the beginning of the second semester of the 2002-2003 college year. The requester will be given confirmation within three working days.
  • In keeping with the College of William and Mary's student behavior code, illegal drugs or the drinking of alcohol will not be permitted on buses for special trips.
  • Inappropriate behavior will be reported to the College of William and Mary.
  • Drinks (non-alcoholic) and food will be allowed for consumption. We ask that those partaking in food and non-alcoholic drinks be mindful of bus conditions and use trash cans that will be provided, as needed, for the disposal of these items.
  • Trip requests must be tied to the College of William and Mary's educational mission. If there is uncertainty whether a trip meets the educational mission of the College, it will be referred to the College for determination in order for WAT to make a decision for acceptance. If multiple requests occur for the same day, and equipment or labor is questionable, we will ask the College to determine which trip(s) are most important to the College's mission, and they will be honored. If a request cannot be honored WAT will provide a list of other transportation providers to help meet the transportation request.
  • Effective July 1, 2004, the special trips mileage rate will change from $.91 per vehicle mile to $.94 per mile and the hourly rate for the bus will change from $21.84 to $22.60 per hour. Additionally, there will be a four hour minimum for all trips. Vehicle hours and miles start and end when the bus departs from and returns to the WAT garage.
  • A cancellation fee of $75 will apply to those cancellations that occur within 24-hours of the requested service.
  • One itemized monthly invoice for special trips will be sent to the Department of Auxiliary Services of the College of William and Mary that is expected to be paid in thirty days of receipt to James City County Transit Division, 109 Tewning Road, Williamsburg, VA 23188. Auxiliary services will in turn bill individual departments their share of this monthly invoice.
